Replace a document or image

Use this guide to replace a document or image in Assets.

Before you start

It is important that you follow the Image guidelines and PDF guidelines when you make changes to images and documents on your website.

Step 1: Navigate to Assets

Step 2: Change to column view

  • If your assets open in Card View, you can change this by selecting the View icon in the top right, below your User icon. Select Column View from the drop-down as this is easiest to use. See our guide on Views for more. 

  • Your school's folder will already be selected.
  • Scroll to the right to see your assets.

  • Select the folder in which your document or image is stored.

Step 3: Select your document or image

  • Once you have found your document or image, make a note of the exact file name of the existing document or image. You should include any underscores, hyphens or file name extensions. For example, mobile-phone-policy.pdf

  • On your computer, save or rename your new document with the file name you noted.

Step 4: Replace an existing document or image

  • Upload the documents in Assets in the same location as the existing one. Follow our guide on how to upload a document or other document to assets.
  • Adobe Experience Manager will warn you that a document exists in the same location with the same file name. 
  • Select Create Version.

Step 5: Publish your changes

  • Select the icon to the left of the file name. The tick will appear and your selection will turn blue.
  • Select Publish in the menu bar that appears across the top of the screen. 
  • This replaces the existing document on your website with the new one.
  • If you still don't see Publish it is because you are an Author. You will need to request the page to be published by an approver.
  • Select Publish in the pop-up to confirm you want to publish the document or image.
